 In Microsoft Dynamics 365 Finance & Operations, the Data Management Framework (DMF) is a powerful tool that allows you to import, export, and manipulate data in bulk. One of the key features of DMF is the ability to restrict specific users to see all data projects which are collections of related data entities and associated processing steps.

To effectively use processing groups, it’s important to understand the role setup required for the users who will be working with them. This will help to securing data projects.

Here are the steps to set up of roles for processing groups in DMF:

Navigate to the Workspaces > Data management and choose “Set up roles for data projects”.

Once you open the setup, you will find following fields to configure processing group permissions. You can control which users and roles have access to specific data entities within DMF, and what level of access they have. This helps to ensure that sensitive data is only accessible to authorized users, while also streamlining data management tasks for those who need to work with the data.

Disable: This checkbox allows you to disable the processing group permissions for a specific role or user, without having to delete the permission record altogether.

For example, in the following setup, those user with “Data management operation users” security role, will have access to all data projects in DMF.

Once you activate “Disable” check mark for this line, users with this role will have no access to existing data projects in DMF.

Apply processing group to: This dropdown menu allows you to select whether the processing group permissions should apply to all data project or specific one (i.e., All or Table)

Processing group: This dropdown menu lists all the processing groups that have been defined in the DMF. You can select just one data project once “Apply processing group to” is set to “Table.”

Grant access to: This dropdown menu allows you to specify the level of access that the role or user should have for the selected processing group(s). Access levels include Role, User, and All.

Role name: This field is used to specify the name of the security role that should be granted processing group permissions.

User name: This field is used to specify the name of the user that should be granted processing group permissions.

With roles set up for processing groups, users can easily access and work with the data entities within those groups. By restricting access to specific processing groups, you can ensure that users only work with the data entities they are authorized to work with.

For example, you can use the “Disable” option in the “Setup of roles for processing group” to restrict access to a data project for a specific user or security role. This prevents unauthorized users from accessing job history and data project, minimizing the risk of possible data breaches. Users with required access can still download data to their local machines if an export job is assigned to export to Excel.
