Power Automate Series: First Setup in the Power Automate


In this article, I will provide a concise explanation of Power Automate, covering the basics to advanced levels. My aim is to equip you with the necessary knowledge first so that we can show motivation towards Power Automate learning. I will discuss what Power Automate is, its types, features, why it's important to learn, and how to set up your environment. Finally, I will provide a walkthrough of the basic section to familiarize you with the environment.

 

What is Power Automate?

Power Automate is a cloud-based service provided by Microsoft that enables users to create automated workflows between various applications and services, including Microsoft Office 365, Dynamics 365, SharePoint, OneDrive, and many others.

Power Automate allows users to create custom workflows, also known as flows, by using a drag-and-drop interface, without the need for any coding. Flows can be triggered by a wide range of events, such as when a new email is received, a new file is uploaded to OneDrive, or a new record is added to a database. They can also be used to automate repetitive tasks, streamline business processes, and integrate various systems and applications.

Power Automate includes a wide range of pre-built templates and connectors that allow users to integrate with popular third-party services, such as Twitter, Dropbox, and Salesforce, as well as with custom APIs. Additionally, Power Automate provides robust reporting and analytics capabilities, allowing users to monitor and optimize their workflows over time.

 

Features of Power Automate?

1.    Workflow Automation: Power Automate allows users to automate a wide range of workflows between various applications and services, such as Microsoft Office 365, Dynamics 365, SharePoint, and many others. Flows can be triggered by a wide range of events and can be used to automate repetitive tasks, streamline business processes, and integrate various systems and applications.

2.    Easy-to-Use Interface: Power Automate provides a drag-and-drop interface that makes it easy for users to create and manage flows without the need for any coding. Additionally, the service includes a wide range of pre-built templates and connectors that allow users to integrate with popular third-party services and custom APIs.

3.    Robust Connectors: Power Automate includes a wide range of connectors that enable users to integrate with various applications and services, including Microsoft and third-party services, such as Twitter, Dropbox, and Salesforce.

Types of Power Automate?

There are three main types of Power Automate flows:

1.    Automated flows: These flows are triggered automatically by an event, such as a new email being received or a new file being uploaded to a folder.

2.    Instant flows: These flows are triggered manually by clicking a button in Power Automate, Power Apps, or SharePoint.

3.    Scheduled flows: These flows are triggered on a regular schedule, such as every day at a specific time or every week on a specific day.

We have two more type of flows which are listed below:

UI flows: Any of the above flow can be a UI flow. It records or automates a process in the desktop or website.

Business process flows: Any of the above flow can be a Business process flow. These flows are used to guide users through a predefined set of steps to complete a specific business process, such as a sales process or a customer on-boarding process. Business process flows are typically used in Dynamics 365 or other business applications.

 

Why learn Power Automate?

Power Automate is a powerful tool for automating repetitive and time-consuming tasks. Here are some reasons why learning Power Automate can be beneficial:

How to do Environment setup?

1.    Go to the website: https://powerautomate.microsoft.com/en-us/

2.    Sign up by your school or work email address

3.    We are done with the setup/ sign up. It will open the power automate interface something look like below figure.

Create: The Create page is used to create the different flows. We can either start from a empty flow or create by using a template or a connector.

Templates: Templates are nothing but the flows that have already been created by other people. These are very easy to set up. If we want to create a flow where we save an Office 365 email attachment to our One Drive for business, or create another flow where we click a button to email a note to ourselves, they are already available in this section and we can simply use them

Connectors: Connectors are basically different applications that can serve as triggers, conditions, or actions to our flow. For example, we have something in the Instagram to trigger an action in the YouTube channel.

There are different combinations that we can put together since there are a lot of connectors that Power Automate offers.

Solution: If you think about the Power Platform, there is Power Automate, Power Apps, and Power Portals. All of these are built together on what is called Solutions. Solutions are ways to integrate flow with other platforms.
